Job Descriptions

Our swim team relies heavily on parents to run the meets. It takes more than 100 individuals for a swim meet to run effectively. Therefore, each family on our team is asked to commit to 65 points worth of volunteer activities during the regular 5-meet Summer season. Except where noted, shifts are set up as 1st half and 2nd half. Some positions require certification or training, look for clinics and training sessions on our website.

ANNOUNCER & AIDE (Home only)

(1) Announcer & (1) Aide per home meet. Announces individual events. Works closely with the starter to keep the meet running smoothly. The Aide works with the Announcer to turn event cards, provide information, etc. WORKS ENTIRE MEET. ANNOUNCER SHOWTIME IS 3 PM & ANNOUNCER AIDE SHOWTIME IS 4 PM.

CLEAN UP

(6) per meet. Takes down all the tents and tarps at sunset and returns them neatly to storage. This position is a great option for parents who have older kids and are there until the very end of the meet anyway, who can't get to the meet in time for 1st or 2nd half shifts, or who prefer not to work during the meet events. A truck or large SUV is needed for hauling. SHOWTIME IS 8 PM OR AS DIRECTED BY CHAIR.

CLERK OF COURSE

(2) per meet. Using the heat sheets, the Clerks of Course will place swimmers for each event in order. Notifies Tent Parent of any missing swimmers. There will be (2) ready bench areas at all meets, one on each end of the pool. One side (away from the timers) will be used for relays and 25-yard swims. The other side (near the timers) will be used for relays and 50-yard swims. SHOWTIME IS 3 PM.

CONCESSIONS (Home only)

(1) Grill master, (1) Hospitality (Water to workers), and (2) shifts per half. First shift needs to arrive early to help setup the stand. The concession stand will be open during the entire meet. This position will be divided into half-meet shifts and two people are needed during each half. The Grill Master will cook on the grill for the first half of the meet. The Hospitality Runner walk around pool deck providing water to home and away team workers and coaches in areas of pool deck that cannot leave their positions (Announcer, Starter, Timers, Clerk of Course, Coaches, etc.) FIRST SHIFT SHOWTIME IS 3:30 PM.

DATA ENTRY

(2) per meet. Aids the Data Entry Chair in entering data from the time sheets into software. Works closely with the Scorekeepers. SHOWTIME IS 4 PM.

DECK MONITOR - TIMER SIDE (Home only)

(1) shift per half. Patrols timer side deck and makes sure that only swimmers, coaches, timers, scribes, runners and heating personnel are on the deck. All other people must be stopped and asked to go around the clubhouse to get to the concessions and to the restrooms. Swimmers with ribbons from visiting team should go around clubhouse and back to tents as well. FIRST SHIFT SHOWTIME IS 4 PM.

PARKING/SECURITY (Home only)

(2) shifts per half. Sets up & picks up signs, directs traffic when necessary, & aids parents in parking. Patrols pool area and surrounding grounds for security purposes. FIRST SHIFT SHOWTIME IS 3 PM.

RIBBONS

(4) per half. Receives the results of each event heat and hands out ribbons to swimmers. This position assists the Ribbons Chairperson. FIRST SHIFT SHOWTIME IS 4 PM.

RUNNER

(2) shifts per half. Picks up completed time sheets from scribes and deliver to the scoring table. Wear comfortable shoes, as this job keeps you moving around the pool and the time passes quickly. FIRST SHIFT SHOWTIME IS 4 PM.

SCOREKEEPER

(2) per half. One person sorts timesheets from runner, separating by team and age/event. Passes slips to second person. Second person compares time sheets to find finishing place of swimmers. Third person verifies these results and passes them to Data Entry. FIRST SHIFT SHOWTIME IS 4 PM.

SCRIBE

(3) shifts per half. Assigned to 1 lane. Record swimmers' times from all 3 timers in their lane & hands timesheets to Runners. FIRST SHIFT SHOWTIME IS 4 PM.

SETUP

(6) per meet.  Sets up tents and tarps in the designated team areas for each meet. This very important position makes it possible for our swimmers to be in the shade and grouped together.  You will have plenty of help from other team parents.  This includes age group tents and additional tents needed for home meets over the ready bench areas. SHOWTIME IS 3 PM.

SETUP - CARGO HAULER (Away Only)

(1) per away meet. Coordinates with Setup Chair to arrive at LMF Pool team storage area and load all supplies into your vehicle - includes, tents, tarps, crates, etc.  YOU MUST HAVE A LARGE SUV OR TRUCK FOR THIS JOB.  Transports cargo from the team storage to away meet location at or prior to "Setup" showtime (3 PM or as directed by Setup Chair).  SHOWTIME IS PER SETUP CHAIR COORDINATION.

SUNDAY NIGHT SETUP (Home only)

10 desired for ~1 hour of setup the Sunday evening prior to a home meet. Brings all tents and tarps from the team storage to each meet and stores them in the pool area. Sets up benches and all other necessary logistics to make pre-meet setup easier.

STARTER (Home only)

*MUST BE CERTIFIED*  Go HERE for information on stroke clinics.  (1) per meet. Determines all lanes are properly filled with eligible swimmers. Responsible for making sure that swimmers are in proper start position and timers are in place before starting the event with a horn. Also determines false starts and disqualifies swimmers who had a false start. SHOWTIME IS 3:30 PM.

STROKE JUDGE

*MUST BE CERTIFIED*  Go HERE for information on stroke clinics. (2) stroke judge shifts per half & (2) relay judges per meet. Determines if swimmer completed entire swim event according to league rules (swimmer's start, body position, arm stroke, leg kick, stroke order, turns, and finishes). (2) relay judges are also needed per half. Relay stroke judges only work relays, but work for the entire meet. FIRST SHIFT & RELAY SHOWTIME 4 PM.

TENT PARENT (Older / Younger)

*SHRSL BACKGROUND CHECK REQUIRED*  Go HERE for league background checks - they normally clear in 24-48 hours. 1-2 per age group for each gender. Supervises the age group tent, where swimmers sit together during meets. Marks events on each swimmer’s arm and helps swimmers get to the ready bench on time for their events (with caps and goggles). Age Group Parents are the only parents who have their chair within the tent space. This position is a great way to learn the names of your child’s teammates, and is most important for the younger swimmers, who need the most help. Age Group Parents of 6 & U and 7/8 are especially critical to the timely start of the meet. SHOWTIME IS 3:30 PM.

TIMER

10 per half. Assigned to 1 lane. Operates a stopwatch to get the time for each swim. Both teams combine to provide 3 timers and 1 scribe for each lane. All 3 times are recorded by the scribe. This job gives you the best view of the swimmers during the meet. There is also a backup timer, so you don't have to worry about messing up! This job is usually in the shade, but it does require standing, and your feet will get wet. SHOWTIME IS 4:00 PM.
